# Contacts

> Personal and shared contacts, who can see each one, and how to share, import, and keep notes.

Open **Contacts** in the left rail. Every contact is either personal or shared:

* A **personal** contact belongs to one member. Its owner can see it, and so can Owners, Admins, and anyone the owner shares it with.
* A **shared** contact sits in the workspace directory, and everyone can see it.

The list opens on your personal contacts. To see more, open **Filter**, then **Access**, and pick **All**, **Personal**, or **Shared**.

## How contacts get an owner

When a Member clicks **Add contact**, the new contact is always theirs (**Only me**). Owners and Admins choose its **Access** when they create it: **Everyone**, **Selected people**, or **Only me**.

Contacts also get created on their own when someone new calls or texts. If the number they reached has exactly one person on its **Users** tab, the new contact goes straight into that person's personal contacts, so a recruiter with their own line collects driver applicants without doing anything. On numbers several people share, new callers become shared contacts. Contacts that already exist never change owner this way.

An unknown caller shows up with just their number. When a Member saves one with **Add contact**, it becomes that Member's personal contact.

## Share a contact or make it private

Open the contact and click its **Access** row to get **People with access**. From there you can:

* turn on **Share with the entire workspace** to move it into the shared directory, or
* add specific members under **Selected members**.

A contact's owner, or any Owner or Admin, can change who has access. Only the person who created a shared contact, or an Owner or Admin, can make it private again. People a contact is shared with can read and edit it, but they can't delete it or share it further. To change several at once, select them in the list and click **Manage access**.

## Details, notes, and suggestions

The contact panel shows company, role, phone, email, and any properties your workspace adds (a home terminal or CDL class, say). Everyone who can see the contact sees the same property list.

Click **Add note** to leave a note, like what a driver said about their start date. Each note shows who wrote it and when, and only its author or an Owner or Admin can edit or delete it. An AI-written summary, updated after calls, sits at the top of the notes.

After calls and voicemails, Vocal may suggest a caller's name, company, and role as a card on the contact. Nothing changes until you click **Save to contacts**. Owners and Admins can turn suggestions off in **Settings → Contacts** (**Vocal AI contact suggestions**).

## Import contacts

Click the **More contact options** menu on the Contacts page, or go to **Settings → Contacts**, and choose **Import CSV**. You can upload a .csv, .xlsx, or .xls file with up to 5,000 rows, match your columns to Vocal's fields, and check how many rows are valid before importing. A number that's already a contact gets merged instead of duplicated, and a name you've already saved isn't overwritten.

Members' imports go into their personal contacts. Owners and Admins choose between **Shared directory** and **My personal contacts**.

## Deleting contacts

Anyone who can manage contacts can delete shared contacts. A personal contact can only be deleted by its owner or an Owner or Admin. Owners and Admins can turn off **Can manage contacts** for a member in **Settings → Members**; that member then can't import or delete contacts.
