When a call to one of your numbers isn’t answered, the caller can leave a voicemail. Vocal transcribes it, writes a short summary, and puts it on the Voicemail page. Click Voicemail in the sidebar.

Listen and follow up

The list shows the newest voicemails first, with the start of each transcript. Click one to play it and read its Voicemail summary and Transcript. You see voicemails for the numbers you’re on; Owners and Admins see every number, and group managers see the numbers in their groups. Use the filters above the list to narrow it down:
  • Unread shows voicemails you haven’t read yet.
  • Urgent shows voicemails that Vocal flagged as urgent when it summarized them, like a driver reporting a breakdown on a live load.
  • The date and number filters limit the list to a time range or to specific numbers.
Read status is personal: marking a voicemail read or unread changes it only for you, and teammates on the same number keep their own. Right-click a voicemail for Call back, Send message, Copy transcript, Download recording, or Mark as unread. Owners and Admins can also Delete voicemail. Voicemail playback isn’t part of call recording, so it works on every plan.

Set a number’s greeting

Owners and Admins can change what callers hear before the beep:
1

Open voicemail settings

On the Voicemail page, click the gear (Voicemail settings) at the top of the list.
2

Pick the number

Each number is listed with its current greeting. Click Set greeting or Change greeting.
3

Add your greeting

Choose Upload a file (up to 5 minutes), Record (up to 2 minutes), or Text to speech. For text to speech, type up to 500 characters, pick a voice, click Generate preview, then Save greeting.
Reset to default goes back to the standard greeting. A greeting you record or upload on a call flow’s Voicemail step plays instead of the number’s greeting. The same step has a Transcribe voicemails switch, which is on by default.

Voicemail drop recordings

Settings → Voicemail drop holds your own recordings of messages you leave after a lead’s voicemail beep, such as a follow-up for a driver applicant who didn’t pick up. Nobody else in the workspace sees them.
  1. Click Add recording and give it a name, like “CDL-A follow-up”.
  2. Click Record, or Upload audio to use a file. Recordings can be up to 60 seconds.
  3. Click Save.
You can keep up to 50 recordings. Use Edit to rename or re-record one, or the menu next to it to delete it.
