Import a spreadsheet
1
Choose the source
Choose Paste, Upload CSV, or Google Sheet. You can paste rows copied from Sheets or Excel; the file uploader accepts CSV and XLSX. For a Google Sheet, connect the account that can read it and choose the sheet.
2
Check the first row
Confirm whether the first row contains column headings or a driver’s details. Don’t accept a header guess that treats your first driver’s name and number as headings.
3
Match the columns
Map the phone column to Phone and the name to Name, or map separate first and last names. You can also map email and your workspace’s lead fields, keep extra sheet columns, or skip a column.Check the preview’s actual names and numbers. A column called “Driver name” kept only as an extra sheet column won’t fill the lead’s name. Phone-only lists are allowed, but the review asks you to acknowledge missing names.
4
Review and import
Review the rows Vocal will add and those it will skip, then confirm the import. If it stops partway through, read the result before trying again; it tells you how many leads were added.
Give recruiters leads
Owners and Admins import the team’s leads into the Pool, then hand them out. Recruiters don’t see Pool leads until you do. Watch: import a sheet and hand it out · 46 seconds The walkthrough uses example data.1
Open Team
In CRM, open the Team tab. Recruiters shows each recruiter’s lists and open leads.
2
Import into the Pool
Click Import and follow the steps above. Everything imported from Team lands in the Pool.
3
Hand out
In the Pool, click Hand out. Pick the recruiters, then choose Split evenly or Same number each. Each recruiter gets one new list that follows the company workflow. Under Workflow starts, Today puts the first step in their Today right away; Not yet holds it, and only replies and promises reach Today until it starts.
4
Confirm and check
Click Hand out at the bottom of the dialog. The confirmation shows how many leads each recruiter got and has Undo. Open Recruiters to see the new counts.
Why were some rows skipped?
Vocal compares phone numbers after standardizing their format, so spaces, parentheses, or a country-code format don’t make a number new.
An Owner or Admin can deliberately override an existing recruiter assignment during import. A recruiter importing a personal list can’t override that check. A previously worked lead isn’t necessarily the same as an active assignment; use the review result rather than assuming all old numbers will be skipped.
Google Sheets: what syncs?
Importing a Google Sheet into your own list copies it once. The team Pool keeps its connected sheet, and an Owner or Admin can refresh it to add numbers Vocal doesn’t have yet. A refresh leaves your CRM statuses and notes alone and never writes back to the sheet. Removing a row from the sheet isn’t a way to delete it from Vocal. If someone changed the sheet’s headings, choose the sheet again so the columns are matched.Rename a list or undo an import
Click My imports (on the Team tab, Imports). Your personal lists have Rename, and each import has Undo import. The latest 30 imports are listed. Review the confirmation before continuing. Undo removes only untouched imported leads. Leads with calls, messages, notes, callbacks, manual field edits, or other recorded work stay. Leads already handed out from the Pool stay too. Shared attributes and contact records are kept. If you imported the wrong columns, undo the untouched rows, correct the file or mapping, and import again. If you’ve already worked those leads, don’t delete their history to fix a name; ask support for help with the import. The imports list includes imports recorded by the current import flow. Older imports may not have a history entry. An interrupted import can appear as partial; check its counts before retrying.
